Practical guide

How to convert an SOP into a training course.

The goal is not to make the document prettier. The goal is to make the employee practice the decisions the procedure exists to control.

SOURCE SOP

Refund escalation procedure

Tier 1 may refund orders under $150 within 30 days when no prior return was marked used or damaged.

Duplicate charges always require Tier 2 verification.

Log the reason code before processing.

What you can refund yourself

Check all three conditions before you process. One failed condition sends the request to the next reviewer.

A $92 order is 11 days old, but the item was returned used before. What now?

Refund it directly
Escalate it to Tier 2

Source coverage

Every important rule has a teaching or practice moment.

Useful interaction

Questions test application, sequence, recall, and handoffs.

Controlled release

A process owner reviews before anyone is assigned.

The six-step method

1

Define the behavior, not the topic

Start with the decisions a person must make correctly after training. A refund course is not about refunds in general. It is about checking authority, spotting escalation triggers, choosing a reviewer, processing correctly, and documenting the result.

2

Map the procedure into teachable units

Group steps that share one mental model. Keep exceptions beside the rule they modify. Separate role authority, process sequence, and documentation when each deserves a focused practice moment.

3

Turn rules into decisions

Use single-choice scenarios for escalation, ordering tasks for sequence, matching for roles and responsibilities, and fill-in-the-blank checks for exact thresholds or approved language.

4

Write feedback that teaches

A red or green state is not enough. Explain which source rule makes the answer right and why the tempting alternative fails.

5

Review against the source

Have an authorized process owner compare every threshold, exception, role, and order of operations. Fix the course before publishing, not after learners report confusion.

6

Assign and observe completion

Choose the people who must take the training, set a clear expectation, and track completed lessons. Completion is evidence of a run-through, not proof of real-world competence, so pair it with observation where risk is high.

Review checklist

A course is ready when the hard parts are faithful.

  • All thresholds and time limits match the approved SOP
  • Exceptions appear beside the rule they change
  • Role and escalation ownership is unambiguous
  • The correct answer points to a source rule
  • Feedback explains mistakes without inventing policy
  • The final pathway covers the whole procedure without filler

Skip the manual course assembly.

Rampwise applies this structure to your SOP and leaves the process owner in control of release.
